HR Administrator Opportunity!

Are you an enthusiastic, experienced HR professional who wishes to advance their career in Human Resources? If so, Scott Land & Lease Ltd. has an immediate opening in our Calgary head office for a Human Resource Administrator. Scott Land & Lease is a leader in its field with operations across Canada, serving many different industries including O&G, renewable energy, telecommunications, infrastructure and several others. We have over 100 staff and have been in business for over 30 years.

Job Summary

We are looking for an HR Administrator to support our Human Resources function. You will act as the first point of contact for HR-related queries from employees and external partners.

Your main administrative duties include maintaining personnel records, managing HR documents (e.g. employment records and onboarding guides), updating internal databases and providing relevant reporting to management. Our ideal candidate has experience with HR procedures and can juggle various administrative tasks in a timely manner.

Ultimately, you should be able to ensure our HR department supports our employees while conforming to labour standards.

Responsibilities

  • Organize and maintain personnel records
  • Update internal HR databases and ensure they are current
  • Prepare HR documents, like Employment and Consulting Agreements, Amendments and Addendums, new hire guides, HR Policies
  • Prepare welcome packages for new hires
  • Coordinate new hire onboarding with other parties, eg. IT, Safety, Office Services
  • Greet new hires for orientation and training
  • Update and maintain company policies to ensure they are current and meet legal requirements
  • Liaise with external partners, like benefits/insurance vendors
  • Administer benefits program, communicate changes to staff, assist with claims
  • Reconcile the Benefits statement and determine appropriate deductions
  • Assist with benefits renewal process
  • Create regular reports and presentations on HR metrics (e.g. turnover rates, compensation statistics, staff composition)
  • Answer employees’ queries about HR-related issues
  • Assist payroll department by providing relevant employee information (e.g. leaves of absence, sick days and work schedules)
  • Participate in HR projects
  • Assist with recruiting efforts and post jobs on recruiting websites (eg. Indeed), LinkedIn, our website, etc.
  • Candidate pre-screening, interviewing and reference checking
  • Update and maintain company forms, performance review forms
  • Coordinate staff surveys
  • Assist with the rollout of HUMI HRIS system
  • Create and update staff onboarding materials
  • Suggest improvements to HR Department

Requirements and skills

  • Proven work experience as an HR Administrator, HR Administrative Assistant or relevant similar role
  • Experience with HR software, especially HUMI, HRDownloads, or similar programs, including the implementation
  • Above average computer skills (MS Office, Word, Excel, PowerPoint applications in particular)
  • Thorough knowledge of Canadian labour laws and employment standards preferred
  • Excellent organizational skills, with an ability to prioritize important tasks, and adapt to changing priorities
  • Strong phone, email and in-person communication skills
  • Ability to work with different teams, strong work ethic and positive attitude
  • Independent and self motivated
  • Degree or diploma in Human Resources or related field is an asset
  • Working towards a CHRP designation preferred
  • Ability to maintain the highest level of confidentiality
